AI Usage Policy

Effective June 9, 2026

This AI Usage Policy explains how Zaxim ("Zaxim," "we," "us," or "our") uses artificial intelligence in the Service, what AI features can and cannot do, and your responsibilities when you use them. It supplements our Terms of Service and Privacy Policy; if there is a conflict, the Terms of Service control.

1. Where we use AI

Zaxim offers optional AI features — most visibly, generating a first draft of a proposal from the details you provide, and rewriting selected text. These features send your inputs to a third-party AI provider (currently Anthropic) to produce suggested text. AI assistance is always optional; you can write and edit every proposal yourself.

2. AI can be wrong

AI is probabilistic, not authoritative. Generated text may be inaccurate, incomplete, outdated, biased, fabricated, internally inconsistent, or unintentionally similar to existing third-party material. It may state figures, facts, names, dates, legal terms, or claims that are wrong for your situation. Treat every AI output as a draft to verify — never as final, authoritative, or professional advice.

3. Your responsibilities before you send

You are solely responsible for every document you send or rely on, including AI-assisted ones. Before sending, you must:

  • Proofread and fact-check the entire document — pricing, scope, dates, names, and any claims.
  • Confirm originality — make sure the content does not copy or infringe any third party's copyright, trademark, or other rights.
  • Confirm suitability and compliance — make sure the document is appropriate for your client and complies with the laws that apply to you, and seek a qualified professional (e.g. a lawyer or accountant) where appropriate.

We surface a reminder of this at the point of generation, but the responsibility is yours regardless of whether the reminder is shown.

4. Your data and AI

When you use an AI feature, the inputs needed for that request (such as your prompt, project details, and relevant profile/library content) are sent to our AI provider to generate the output. We do not use your content to train any AI model, and our AI provider does not train its models on data submitted through its API. See our Privacy Policy for more on how your data is handled.

5. Acceptable use of AI features

You agree not to use Zaxim's AI features to generate or distribute content that:

  • is unlawful, fraudulent, deceptive, defamatory, or infringes another party's rights;
  • impersonates a person or misrepresents authorship or affiliation;
  • you have not reviewed but present as your own verified work; or
  • attempts to reverse engineer, extract, or copy our prompts, models, or systems.

6. No warranty; no liability

To the fullest extent permitted by law, AI outputs are provided "as is," without warranty of any kind. Zaxim makes no warranty that AI outputs are accurate, original, non-infringing, or fit for any purpose, and Zaxim is not liable for any loss or consequence arising from your use of AI-generated content. The disclaimers and limitations of liability in our Terms of Service apply in full to AI features.

7. Changes

We may update this Policy as our AI features evolve. We will update the effective date above and, for material changes, notify you in the application or by email.
